As a Facilities Trainee, you will play a crucial role in supporting the daily operations of the office, ensuring smooth and efficient functioning of the facilities. You will collaborate with various internal and external stakeholders to maintain a well-organized work environment and contribute to creating a positive experience for both employees and visitors.
This position offers a hands-on experience in office and facilities management, providing an opportunity to develop organizational, administrative, and communication skills in a dynamic workplace.

Responsibilities
Support on welcoming guests, greeting them, and announcing them to appropriate contact as soon as they arrive at the office
Monitor and restock office supplies to always ensure adequate inventory levels
Handle EPAM parcel services
Provide support with access badge requests, activations, and troubleshooting for employees
Accurately track and maintain visitor records for the office
Manage parking arrangements and ticket validations for employees
Coordinate front-desk administrative activities
Search new vendors based on office requirements
Manage office facilities, including maintenance, and repairs
Coordinate with vendors and service providers to ensure timely resolution of facility-related issues
Maintain confidentiality of sensitive information and records
Keep updated records of office expenses and costs
Collaborate with internal stakeholders to ensure successful execution of events and activities
Develop, document, and implement office processes as needed to enhance efficiency and productivity
Create materials to communicate office monthly activities in different internal channels
Requirements
English B1+
Familiarity with Microsoft Office tools (Word, Excel, PowerPoint) for document creation, data management, and communication
Ability to manage multiple tasks, prioritize, and maintain office supply inventory
Strong sense of accountability and ownership towards assigned tasks and responsibilities
Ability to work independently and collaboratively in a fast-paced environment
Regular and predictable attendance, adhering to schedules
Solid written and verbal communication skills
Professional attitude and appearance
Stress tolerance, proactive, self-starter, diligent, communicative, and detail oriented
Capable of handling sensitive information with professionalism and always maintaining confidentiality
Last semester of University (Administration or a related social science field)
