Role:
The Executive Assistant provides high-level support to our Director, helping to manage daily operations, special projects, and cross-functional coordination. This role requires exceptional organizational skills, professionalism, and the ability to proactively support both business and personal tasks with discretion. The right candidate is tech-savvy, flexible, fluent in English, and thrives in a dynamic, fast-paced setting. We are looking for an energetic, hard-working professional with a high level of integrity and diligence.
Key Responsibilities:
- Calendar & Meeting Management: Proactively manage a complex calendar, scheduling meetings, vendor visits, and travel; prepare meeting briefs and notes; coordinate Zoom sessions and follow-ups.
- Travel Coordination: Book detailed international and domestic travel, build itineraries, and handle last-minute changes smoothly.
- Communication & Correspondence: Draft and manage professional emails, reports, presentations, and client communication on behalf of executives.
- Client & Business Development Support: Research prospects, track follow-ups, and assist during trade shows or client events as needed.
- Project & Operational Support: Maintain project trackers and timelines; support task execution across multiple ventures; assist in areas like HR, recruiting, marketing, design, and estimating.
- Trade Show & On-Site Support: Coordinate logistics for exhibit walkthroughs, document feedback, and assist in event planning.
- Administrative Tasks: Manage digital files, contracts, expense reports, CRM updates, and documentation.
- ERP Support: Collaborate with internal teams on ERP (VOZ) development by documenting bugs and assisting in implementation.
- Personal Assistance: Occasionally assist with personal scheduling and travel needs that overlap with business priorities.

Skills and Experience
- 3+ years in an administrative or executive support role
- Bilingual: English-Spanish fluency
- Recruiting, HR, or sales experience is a plus
- Excellent written and verbal communication skills
- Highly organized with strong time management
- Proficient in Google Workspace, Excel, Word, Keynote, and Adobe Suite
- Tech-savvy with experience using CRMs and task/project management tools
- Familiarity with the trade show industry or experiential marketing is a plus
- Comfortable with occasional travel and flexible scheduling
