Key Responsibilities:
Manage the operations budget, ensuring cost-effectiveness and resource allocation for various operational aspects such as feature construction, logistics, staffing, and technology.
Obtaining multiple quotations from vendors, contractors, and suppliers for services such as feature design, logistics, audio-visual, and catering. Negotiate contracts and manage vendor relationships to ensure top quality and cost-effectiveness.
Managing the show signage process being able to provide creative approach to ease the navigation throughout the event(s).
Ensuring all operational activities have a build project schedule to ensure they are on track and meet branding, marketing and sponsorship requirements.
Recruit, train, and manage a team of on-site staff and temporary staff.
Ensure compliance with health and safety regulations, Implement safety measures to protect staff and attendees.
Develop and maintain a detailed timeline and project plan, outlining key milestones and deadlines leading up to the show. Ensure all tasks are completed on time.
Anticipate and address any operational challenges or issues that may arise during the show, providing quick and effective solutions.
Knowledge on using Smartsheet will be an asset.
Conduct a post-event evaluation to assess the success of the show/s, gather feedback from staff and suppliers, identify areas for improvement and cost effectiveness.
Work on your own initiative to manage your time/ priorities and the team beneath you to successfully execute all operational elements of the energy portfolio. Work as a team to ensure excellent operational standards are maintained throughout the event cycle, company processes are followed, and the event(s) is delivered successfully.
Leads on and ensures operational processes and platforms, such as show cycle timelines, briefing documents, planning schedules, manuals etc, are in place and implemented by the team.
Responsible for overseeing direct processes that impact the event floorplan and exhibitor list, managed by junior team members. Ensuring the processes are fit for purpose and ensures direct line report adheres to these processes.
Creates an immediate, positive, and professional impression on colleagues and external suppliers which is vital for the development of the business.
Present to the wider team internally, and to venues and suppliers, the updates of the events throughout the event cycle.
Prepare annual event budgets and forecasts. Liase with the finance team to ensure compliance with event Budget.
Experience Requirements:
Proven experience in trade show / event operations management. Minimum 5 years experience into similar role
Strong project management skills with the ability to manage multiple tasks and priorities simultaneously.
Excellent communication and negotiation skills.
Knowledge of basic AutoCAD, Smartsheet, and other event management software and technology tools.
Sound commercial awareness – management of budgets for events and keeping within the budget set.
Knowledge of industry trends, best practices, and emerging technologies in trade show operations.
Ability to work under pressure and adapt to changing circumstances.
Strong leadership and team management skills.
Attention to detail and a commitment to delivering high-quality experiences.
Create an environment which encourages teamwork and collaboration.
Setting clear expectations and objectives.
Providing regular and structured feedback and coaching sessions to drive high performance culture.
Experienced with working in pressured working environments.
