Bilingual Executive Assistant
Job Objective:
Provide comprehensive support to General Management in the planning and coordination of activities with Country Managers, Executives, and Business Partners. Ensure ongoing communication with teams in the U.S. and Latin America, managing travel, agendas, office administration, and the annual budget. Offer general assistance in national events and corporate activities.
Requirements:
- Experience: Minimum of 3 years as an Executive Assistant or in a similar role.
- Languages: Fully bilingual in Spanish and English (advanced conversational level; the interview will be conducted in English). Portuguese is desirable but not essential.
- Technical Skills: Advanced proficiency in Office software (Excel, Word, Outlook) and knowledge of Mac and Windows operating systems.
- Communication Skills: Strong verbal and written communication skills in both Spanish and English.
- Administrative Skills: Experience managing schedules, planning travel, and controlling expenses. Solid knowledge in document and presentation preparation.
- Confidentiality: Ability to handle sensitive and confidential information with utmost discretion.
Responsibilities:
- Manage daily administrative operations and ensure the smooth functioning of the office.
- Coordinate and manage appointments, meetings, and schedules across different time zones.
- Organize and oversee the Director's agenda, ensuring adherence to timelines and objectives.
- Prepare reports, presentations, and other relevant documents for meetings and proposals.
- Welcome clients according to institutional standards of quality and ethics while they await meetings with the Director.
- Secure, store, and organize confidential documentation responsibly.
- Support in coordinating communication and activities between internal departments and clients.
- Assist in organizing corporate events and preparing materials for meetings (folders, audiovisual materials, presentations, etc.).
Additional Activities:
- Process invoices and register the company as a vendor.
- Record and control expenses and payments.
- Coordinate logistics and provide support at events attended by Management.
- Inventory control (equipment and supplies).
