At Alegro Industries, we are seeking a committed and proactive Bilingual Administrative Assistant to join our team. If you possess exceptional organizational skills, advanced English communication (C1), and a passion for providing excellent service, this opportunity is for you.
Job Objective
Provide administrative and communication support in daily tasks, facilitating internal coordination, client and supplier relations, and contributing to corporate projects and activities. Ensure data accuracy, handle confidential information, and assist with recruitment and purchasing processes.
Main Responsibilities
- Manage calls, emails, and communications in both English and Spanish, ensuring clarity, courtesy, and efficiency.*Maintain employee records, administrative files, and handle related tasks.
- Assist with purchasing activities: sourcing products, negotiating with suppliers, managing payments, freight costs, and logistics.
- Prepare and present weekly and monthly reports including pre-closings, quotations, purchase orders, deliveries, and invoicing, ensuring accuracy and timeliness.
- Input data, text, and figures swiftly and accurately into internal systems.
- Create documents, tables, and graphs using various software tools.
- Transmit documents and data through secure internal channels, maintaining confidentiality.
- Perform physical and digital archiving following established procedures.
- Communicate effectively—both verbally and in writing—in English and Spanish, conveying clear and precise information.
- Support management with administrative activities and carry out assigned corporate tasks.
- Provide courteous service to clients and colleagues, employing proper technology.
- Maintain confidentiality with all information handled.
- Keep the workspace organized and tidy.
- Cultivate habits of punctuality, responsibility, and orderliness.
- Take good care of tools and work materials.
Requirements
- Education: Bachelor's degree in Administration, International Business, Languages, or related fields.
- Experience: 3-5 years in administrative roles, with advanced English proficiency (C1).
- Technical Skills: Advanced proficiency in Microsoft Office, internal platforms, filing systems, and basic logistics and purchasing knowledge.
- Languages: Bilingual in Spanish and English (spoken and written) at C1 level.
- Skills: Excellent verbal and written communication, strong organizational and attention-to-detail skills, fast and accurate data entry, ability to prepare reports, graphs, and presentations, with discretion and confidentiality.
