CIMMYT is looking for a dynamic, self-motivated, and service-oriented professional to join the Engagement Chapter team as a Grants Management Analyst.
The position will be based at CIMMYT headquarters in Texcoco, State of Mexico, near Mexico City.
Specific duties:
- Execute Grants Management operational plans to help maintain annual fundraising levels at USD 250 million through 2027.
- Implement strategies to achieve Engagement Chapter KPIs related to resource mobilization.
- Deliver on individual work plans as well as multi-year plans within the DFS team.
- Ensure consistent application of institutional grant management policies and procedures.
- Identify and map key risks across the DFS area, contributing to the development and implementation of effective risk mitigation strategies.
Research, Prospecting & New Donor Engagement
® Support the prospecting process for new funding opportunities within existing multi-partner agreements.
Cultivation & Stewardship
® Support cultivation and stewardship efforts aimed at strengthening multi-partner collaborations.
Grant Management & Reporting
® Foster strong relationships with all units and internal stakeholders to ensure effective coordination throughout the grant–project cycle, including monthly reconciliation meetings.
® Ensure grant-related information, records, documentation, and archiving are effectively managed and maintained in a timely and accurate manner:
o Produce monthly pipeline report.
o Produce monthly aging report.
o Manage Unit email account – follow up on received requests, tracking, and monitoring different actions derived.
o Management of Funder Platforms to ensure timely and accurate data entry and compliance
® Improve the functioning of the department:
o Development of templates
o Update and dissemination of DFS Grant management Manual
o Build capacity on DFS processes within the unit and other units internal and external clients.
® Coordinate grant management steps along the project cycle in collaboration with Involved units internal and external clients:
o Provide quality control.
o Provide feedback to comply with funder requirements.
o Ensure Financial and Technical Reporting delivery and assurance quality standards.
o Serve as the main coordination point and front desk with auditors for grant-related audits.
o Ensure that Research Programs generate and provide all required documentation.
® Project Management Minimums Coordination:
o Coordinate with Program teams to ensure timely follow-up, collection, and submission of all required documentation under CIMMYT's Project Management Minimums.
o Track the submission status of PM Minimums documentation, review for completeness, and escalate any issues or delays to relevant stakeholders.
o Maintain and regularly update the centralized PM Minimums tracker, ensuring accuracy and accessibility for Program teams, the Project Management Office, and SMT.
o Set up and organize Teamwork project accounts for all new grants, ensuring proper documentation of key project information, milestones, and responsibilities.
o Oversee centralized storage of project documentation, prepare compliance reports, and flag documentation risks while recommending corrective actions.
® Administration & HR
o Implement individual annual plan to ensure objectives and targets are accomplished.
o Follow all policies and procedures related to performance evaluation and internal assessments.
o Adhere to CIMMYT's stated values and behaviors to promote CIMMYT's culture in DFS.
Required qualifications, skills, and attitudes:
® The candidate must have a master's degree in public administration, International Development, Business Administration, Project Management, or a related field.
® The candidate must have a minimum of 5 years of experience in grant management, donor-funded project coordination, financial and technical reporting, or working with international non-profit or research organizations.
® Advanced level of English language (English test will be administered; candidate must score a minimum of C2 as per CEFR).
® The candidate must exhibit a good knowledge of theories, practices, and procedures within a PM discipline.
® The candidate must be proficient in Microsoft Office (Excel, Word, PPT, Outlook) and ERP Systems
