Advanced Staffing Partners helps small and medium-sized businesses in the United States with remote staffing services. Our headquarters is in Sacramento, California. Abroad, we have branches in Philippines and Mexico. We are looking for an Maintenance Coordinator to support one of our US customers.
Position Summary
We are looking for a highly organized and proactive Maintenance Coordinator to manage the scheduling of all maintenance work, review time sheets for maintenance employees daily, follow up with technicians to complete notes, photo documentation, and schedule additional or follow-up visits as needed. The ideal candidate will have strong project management, construction management, and maintenance experience.
Schedule
This position requires a minimum of 40 hours per week, 8am to 5pm, Monday through Friday. Occasionally, meeting and event attendance outside of regular business hours will be required. Response to after-hours emergencies to support maintenance team members will be required. During the winter, coverage for snow events may require early starts at 4 am.
Scheduling and Coordination
• Schedule and assign maintenance work tasks to ensure efficient operations using our field service software, Jobber.
• Review time sheets for maintenance employees daily.
• Follow up with technicians to complete notes, photo documentation, and schedule additional or follow-up visits as needed.
Team Support
• Provide support to the maintenance team by coordinating with outside contractors for specialized repairs and major projects.
Safety and Compliance
• Help ensure all maintenance activities comply with safety regulations and company policies.
• Assist in conducting regular safety audits and implement corrective actions as needed.
Reporting and Documentation
• Maintain accurate records of all maintenance activities, inspections, repairs, and safety checks.
• Prepare and present reports on maintenance performance, payroll statistics, spending, and compliance.
Collaboration
• Work closely and cooperatively with other departments to ensure smooth operations.
• Interact with maintenance team members to solve problems, address concerns, and schedule work.
Technology
• Succeed in a tech-heavy environment.
• Communicate throughout the day via Teams, text, email, and phone.
• Upload detailed photos and notes of all tasks performed as they're performed.
• Ensure all maintenance team members appropriately track time, expenditures, notes, and photos.
Experience:
• Minimum of 3-5 years of experience in maintenance or facilities management.
• Proven experience in project management, construction management, and/or maintenance.
Skills:
• Strong organizational and time management skills.
• Excellent verbal and written communication skills in English and Spanish.
• Proficiency in using field service software and other relevant technology.
Position Preferences
• Knowledge of local, state, and federal safety regulations.
