?Job Purpose:
The Travel Coordinator is responsible for managing and organizing travel arrangements for individuals or groups within an organization to ensure that employees have a seamless travel experience, including transportation, accommodation, itineraries, and other related services.
Qualification & Skills Needed:
- High school diploma or equivalent; a degree in business administration, hospitality, or a related field is a plus.
- 3-5 years of experience in a travel coordination or administrative role, with a strong understanding of travel logistics.
- Familiarity with travel booking software, reservation systems, and travel policy regulations.
- Strong written and verbal communication skills, with the ability to work well with a variety of stakeholders.
- Excellent time management and multitasking abilities, with an eye for detail.
- Ability to handle unforeseen issues and adapt to changing circumstances quickly and effectively.
A customer-focused mindset, ensuring the best travel experience for the company's travelers.
Job Duties:
- Research and arrange transportation (air, rail, ground), hotel accommodations, and other travel-related services (e.g., car rentals, itineraries).
- Prepare detailed itineraries for travelers, including flight details, accommodation bookings, transport arrangements, and any necessary visas or documents.
- Communicate with travel agencies, airlines, hotels, and car rental services to secure the best deals and ensure high-quality service.
- Ensure that travel arrangements stay within the allocated budget, reviewing and processing travel expenses and receipts.
- Ensure all travel bookings are compliant with company policies and guidelines.
- Provide support to travelers during their trips, assisting with changes to itineraries, cancellations, or emergencies.
- Maintain records of travel arrangements, receipts, invoices, and travel-related documents for reporting and auditing purposes.
- Serve as a point of contact for all travel-related inquiries, responding to employee or client needs promptly.
- Stay informed about potential travel disruptions, political instability, or other risks that could affect employee travel and provide guidance on necessary precautions.
Ensure proper processing of travel reports, expenses, and feedback collection from travelers to improve future travel arrangements.
Job Requirements:
- Ability to sit for entirety of shift and work on computer
- Some lifting, bending and stooping as required
- Flexibility to work overtime as requested
- Ability to work independently and as part of a team
- Ability to focus on relevant work for entirety of shift
- Ability to be flexible when last minute changes or requests are made
- Valid Driver's License
- Authorized to work for any employer in the United States
- Willingness to travel in North America
