Descripción
RECRUITMENT
- Coordinate with the School recruitment process from start to finish in liaison with the General Director and/or Academic Director.
- Administration of ATS recruitment database.
- Operate and update information on SuccessFactors as needed.
- Write job adverts and place them in relevant publications.
- Produce standard job descriptions, person specifications and selection criteria for all school positions.
- Responsible for the smooth delivery of the offer process, ensuring letters and contracts are sent to successful candidates and formalising them according to the Mexican Federal Labour Law.
- Negotiate partnerships with appropriate recruitment agencies, service providers and set up service level agreements, with the best rates and service.
- Responsible for ensuring all applicants and candidates receive a professional service unrivalled by our competitors.
- Conduct reference and background checks for possible candidates.
INDUCTION, ONBOARDING & OFFBOARDING
- Ensure that once offered, all candidates are communicated with regularly, ensuring all relevant documentation required for employment is collected and collaborated with the HR Director.
- Assist with overall work permit application, visa and immigration paperwork, including canjes, notification of changes and renewals of the residence cards of the expat staff, ensuring it is delivered in a timely manner.
- Coordinate with the booking of travel and hotels where necessary.
- Organise visits, including meals and entertainment, for onboarding activities.
- Find places and coordinate with owners or real estate agents to ensure new staff accommodation requirements are appropriately allocated.
- Responsible for ensuring all references, CRB / Police Checks, etc, are done and in compliance with The Americas Region and internal audit requirements.
- Coordinate and prepare all materials required for the staff induction process.
- Create and maintain up-to-date personnel files for all staff.
- Coordinate the offboarding process for departing employees, including exit interviews, clearance procedures, and return of school property.
- Ensure final documentation is completed accurately and in compliance with internal policies and Mexican Federal Labour Law.
- Liaise with relevant departments (Finance, IT, Operations, etc.) to ensure a smooth and professional welcome and exit experience for all staff.
POLICIES & PROCEDURES
- Coordinate the development and implementation of recruitment and selection methodologies to ensure high-quality candidates and appointments.
- To assist and constantly coordinate on maintenance, monitoring, review and improvement of Human Resources policies, procedures and practices and to ensure necessary legal requirements are met and best practice is implemented.
- Provide specialist advice on developing procedures, the legal and financial implications and ‘best practice' for employee relations issues within the school.
- Adhere to visa regulations and employment applications, giving accurate and consistent advice and practical assistance to the expat staff.
- Administer the issue of contracts/letters of appointment, variations, and associated documentation and ensure appropriate action is taken regarding staff changes.
- To maintain and manage the appropriate records, manual and electronic up-to-date and by Data Protection requirements.
- Administration of the HRIS system and other corporate, internal and external portals that link to HR services.
- Assist staff in scheduling appointments with INM, SAT, IMSS, Bank, private hospitals and/or doctors, labs, pharmacies, supermarkets and accompany them to these places when needed.
- Provide support to all staff in completing Major Medical Insurance forms and liaise with the insurance broker regarding the medical services offered by the insurance provider.
COMMUNICATIONS
- Develop productive working relationships with all staff to ensure the needs of the school are met whilst consistent standards of quality are achieved.
- Organise school parties like the Winter Luncheon and Teacher's Day, including souvenirs and appreciation presents.
- Prepare flyers, informative cards, and PowerPoint presentations as needed to communicate events or share information with all staff.
GENERAL HR
- Provide HR operational support in the overall School HR function and give advice as required.
- Support and receive general instructions and direction from the HR Director.
PERSONAL DEVELOPMENT
- Continual development through the identification and implementation of your own Personal Development Plan.
