The – Executive Assistant is responsible for providing administrative support and patient communication in a fully remote environment. This role ensures the smooth operation of front desk activities, including appointment scheduling, insurance verification, and proactive patient follow-up, while adhering to internal policies and industry regulations such as HIPAA.
Key Responsibilities
Patient Communication and Scheduling
Answer incoming calls promptly and route them appropriately.
Schedule, confirm, and reschedule appointments using EHR systems.
Conduct pre-surgical education and post-surgical follow-up calls.
Insurance and Documentation
Verify insurance eligibility prior to appointments.
Obtain pre-authorizations for visits and procedures.
Manage medical record release requests in compliance with HIPAA.
Coordinate and track medical referrals.
Patient Outreach and Retention
Contact patients not seen in 3, 6, 9, or 12+ months to encourage follow-up care.
Follow up with leads and patients who have not completed the care process.
Collect patient feedback and testimonials after surgical procedures.
Accounts and Compliance
Contact patients with outstanding balances to support accounts receivable collections.
Maintain accurate documentation of all interactions in the EHR system.
Ensure full compliance with HIPAA regulations and company policies.
Qualifications
Education
High school diploma or equivalent (additional training in medical office administration preferred).
Experience
Minimum of 1 year in a medical office or healthcare call center environment.
Technical Proficiency
Familiarity with EHR systems and scheduling software.
Proficient in standard office technology.
Soft Skills
Strong communication, organizational, and customer service skills.
Ability to handle sensitive information with professionalism and discretion.
