Are you looking for a unique opportunity to use your bilingual English/Spanish skills, drive and passion in a sustainable, international nonprofit environment? Na'atik, an intercultural language and culture institute based in Felipe Carrillo Puerto, Quintana Roo, is off the beaten track in Mexico's Zona Maya. We're looking for a Maya and Spanish Immersion Program Assistant to join our team.
This position reports to the Maya and Spanish Immersion Program (MaS) Director and Coordinator.
Our MaS program brings students from all over the world to study Maya or Spanish where they are immersed in the unique culture of the region through classes, homestays, excursions, and intercultural activities with our local English language program students.
This position requires organization and communication both online and in-person with our local homestay families in Spanish, foreign students in English, local suppliers and international staff. A strong customer service attitude and strong communicative Spanish and English language skills are necessary. Data entry, sales inquiries responding, assistance in the creation of itineraries, receipts, planning, selling of activities through the instruction of the Program Coordinator, are critical parts of the position.
Main Responsibilities:
- Be responsible for answering calls and replying to messages/inquiries Monday through Friday and on weekends, as required.
- Maintain and improve a set of email response templates with compelling copy that maximizes sales conversion.
- Respond directly, promptly, and with personal input to inquiries received through various channels.
- Create WeTravel platform invoices, with Coordinator oversight.
- Assist with the creation of schedules and itineraries with Coordinator oversight.
- Organize and conduct calls to close sales when necessary.
- Input and maintain accurate data in the CRM system (Salesforce).
- Monitor trends and report to the Marketing and Communications Manager.
- Communicate bookings to the MaS team and ensure they are up to date with the calendar, occupancy report, and teacher availability.
- Ensure the sale of excursions and transfers and maintain booking rates above targets.
- Organize paperwork for the arrival of students.
- Assist with coordinating with local homestay families, including but not limited to dietary and accommodation requirements from students.
- Send arrival information of students to the teachers and staff.
- Organize and attend welcome dinners in rotation with the Coordinator.
- Lead student orientation sessions.
- Rotate MaS student pickups and provide introductions and short orientations at their homestay families for Saturday or Sunday arrivals.
- Do daily check-ins with students to gather feedback and ensure their experience is going well/as expected.
- Accompany students to activities and excursions, serving as guide/translator.
- Be responsible for the registration, assignment, return, and upkeep of school bikes (in coordination with assigned staff), including locks, lights, etc.
- Cross-sell and promote the school's on-site activities and excursions.
- Prepare each student's graduation.
- Be responsible for sharing and receiving completed feedback forms.
- Assist the Program Director and Coordinator with additional projects, including program management tasks as required.
- Cover the Program Coordinator when necessary.
- Assist in tasks assigned by the Program Director.
- Participate in additional activities required by the Institute, including event preparation and production.
- Coordinate the intercultural program with the Library Activities Coordinator and English Program Coordinator, including program design, monitoring, promotion, and activity management.
Schedule:
This will be a 'flex' schedule depending on the intercultural and additional activities.
Qualifications:
- 1 year experience in a customer service role or similar;
- Bachelor's Degree from an accredited university;
- Experience in assisting a coordination role;
- Native-level English proficiency. Position is open to Mexican nationals, however a high level of English will be required, and evidence will be required (TOEFL, CAE, IELTS and you will be interviewed in English);
- 'Communicative Spanish' (Intermediate-Advanced preferred) and/or native Spanish speaker;
- Experience using Google Drive, Google Calendar and Microsoft Office, Asana;
- Target-driven and mission-motivated;
- Experience working with and/or living with people from different nationalities.
Salary:
- $6200 Mexican pesos before taxes paid twice a month. The stated salary has been calculated based on the living costs specific to the region. This calculation takes into account factors such as housing, transportation, food, and other essential expenses to ensure fair and adequate compensation for employees;
- 4 weeks of paid vacation;
- Housing provided for the first year only, the second year IMSS is provided;
- If you are not a Mexican citizen, housing will be provided during your whole stay as an employee. We provide all the documents for the visa process, visa expenses are reimbursed by Na'atik when you complete your contract.
