About the firm We are a boutique design-build practice delivering high-end custom homes and outdoor amenities across three distinct climates and markets: coastal Los Cabos, wine-country Healdsburg, and mountain Park City. We integrate architecture, landscape, interiors, and construction to deliver place-sensitive, craft-driven residences. The Operations Manager will run the firm's day-to-day business operations and enable consistent, timely, profitable project delivery across all offices and job sites.
Role summary The Operations Manager is a senior, hands-on role responsible for operational systems, financial controls, resourcing, procurement, risk and compliance, and inter-office coordination. You will translate strategy into reliable processes and measurable outcomes so design and construction teams can deliver outstanding homes on schedule and on budget across regions. This role requires strong financial and project operations experience, cross-border familiarity (U.S. and Mexico), and the ability to lead teams across dispersed locations.
Core responsibilities
OPERATIONAL MANAGEMENT
- Produce weekly/monthly dashboards showing profitability, backlog, burn rates, and cash position.
- Develop, document, and implement firm-wide standard operating procedures (SOPs) for project intake, delivery, construction administration, change order management, and project closeout.
- Lead continuous improvement initiatives to reduce waste, shorten schedules, and improve margin. Analyze workflows and improve systems to maximize efficiency and reduce bottlenecks.
- Integrate design and construction timelines to reduce rework and accelerate day-to-day firm operations and ensure consistent execution across all offices and job sites.
- Identify training needs across departments and oversee training program execution, ensuring consistency and alignment pany objectives while delegating logistical tasks to HR or administrative support
- Translate executive strategy into operational programs, KPIs, timelines, and budgets.
- Maintain and update a design documents deliverable calendar
- Lead the ops leadership team and facilitate cross-functional decision making (weekly ops, monthly financial review, quarterly strategy).
- Own project-level and firm-level operational financials: budgets, forecasting, cashflow, billing, AR/AP, and month-end reporting in conjunction with inputs received from Creative Design team and Construction team
- Partner with principals to develop project budgets, and report on time allocations and profitability
- Project delivery & resourcing
- Provide reporting on resource planning and capacity allocation across all regional projects and disciplines (design, architecture, construction management, procurement).
- Leverage KPI data and client feedback to identify opportunities for operational and performance improvements.
- Use insights from KPIs and feedback to make actionable changes that enhance business profitability and operational efficiency.
FINANCIAL OVERSIGHT
- Assist in managing budgets, operational expenses, and financial reporting.
- Ensure operational costs align with overall business objectives and recommend cost-saving measures when appropriate.
- Own project and firm operational financials: budgets, forecasting, cashflow, billing cadence, AR/AP, month-end close, and financial reporting to principals.
- Implement and enforce cost controls, contingency management, and standardized change-order workflows.
- Implement controls to improve cost forecasting, reduce change-order leakage, and protect margins.
LANGUAGE AND COMMUNCIATION
- Act as a liaison between leadership and the broader team, ensuring clear communication and alignment.
- Foster a culture of accountability, integrity, and continuous improvement.
Requirements
QUALIFICATIONS
- Bachelor's degree in Business Administration, Operations Management, or a related field
- 5+ years of experience in operations management, preferably within a design, creative, or professional services industry.
- Proven leadership experience with the ability to manage and inspire diverse teams.
- Strong understanding of HR functions, compliance, and employee engagement.
- Exceptional organizational and multitasking skills, with the ability to prioritize competing demands.
- Strategic thinker with the ability to balance day-to-day operations with long-term goals.
- Experience in policy creation, training program development, and KPI interpretation.
- Proficiency in project management tools (e.g., Monday.com, Asana, or similar) and standard office software.
- Strong communication skills, with an ability to foster collaboration across multiple verticals.

Buscamos un Gerente de Operaciones con experiencia en gestión financiera y de proyectos, capaz de liderar equipos en México y EE. UU. Será responsable de supervisar procesos operativos, presupuestos, recursos, cumplimiento y coordinación entre oficinas, garantizando proyectos rentables y entregados en tiempo y forma.
Responsabilidades principales
- Gestionar operaciones diarias y asegurar la ejecución eficiente de proyectos.
- Desarrollar y supervisar SOPs, KPIs y programas de mejora continua.
- Administrar presupuestos, flujo de efectivo, facturación y reportes financieros.
- Coordinar recursos entre diseño, arquitectura, construcción y compras.
- Implementar programas de capacitación y fomentar la cultura de responsabilidad y mejora continua.
- Mantener comunicación clara entre dirección y equipos.
Requisitos
- Licenciatura en Administración, Operaciones o afín
- +5 años de experiencia en gestión de operaciones, preferentemente en diseño, construcción o servicios profesionales.
- Experiencia comprobada en liderazgo de equipos multiculturales.
- Conocimiento en finanzas, RR. HH., cumplimiento y herramientas de gestión de proyectos (ej. Asana, Monday.com).
- Inglés avanzado y experiencia en operaciones transfronterizas (México/EE. UU.).?
- Líder estratégico y práctico.
- Excelente comunicación y organización.
- Capacidad para optimizar procesos, mejorar la rentabilidad y mantener equipos alineados.
