The Asset Protection Analyst is responsible for providing quality care to visitors and employees of the facility, as well as ensuring the safety of the facility through the proper use of available resources and technologies, as well as ensuring the proper use of interior spaces. He/she acts as the first point of contact for the company, so he/she must project a professional and hospitable image.
Activities:
Access CCTV footage, access control systems, security-related databases.
Suggest minor adjustments in security resources as needed.
Gather data for internal investigations as directed.
Management of spaces such as meeting rooms
Use approved company communication tools for business-related topics, including email, messaging, and group chats.
Main Responsabilities
Customer Service: Greet and serve visitors, suppliers and employees in a professional and friendly manner, as well as carry out the identity verification process and provide the corresponding access authorizations, informing hosts about the arrival of their visitors. Coordinating access, guest network, taxis, etc for visits
Call Management: Answer and channel phone calls, taking messages and redirecting calls to the corresponding departments.
Access Control: Verify and record the entry and exit of staff and visitors, ensuring compliance with security protocols. As well as the administration of the access control management system, maintaining an updated database of active employees and existing cards.
Risk Assessment: Identify and evaluate potential security risks in the facilities, reporting any anomalies to the immediate superior.
Security Systems Monitoring: Monitor CCTV cameras and other security systems to identify suspicious activities, potential threats, and policy violations within the facility.
Incident Response: Respond to security incidents, emergencies, and accidents promptly, following established procedures and collaborating with law enforcement when necessary.
Data reporting: Generate periodic reports on security incidents, access control and other relevant activities.
Document Management: Maintain accurate and detailed records of security-related incidents, investigations, and daily activities, ensuring all reports are submitted promptly.
Building Management. Assist with special projects as needed e.g. desk assignments. Create and maintain office phone list, attendance, and desk assignment. Preparing business correspondence, agendas, and presentations, typically using Microsoft Office (Word, Excel, PowerPoint, Access, Outlook). Assist in scheduling and coordinating meetings, events, and other similar activities. Identify, evaluate, research, and recommend solutions to office services-related issues and problems. Coordinating between departments and operating units in resolving day-to-day administrative and operational issues.
Project managament:Collaborate with the team to define specific objectives for the asset protection projects. Assist in coordinating project tasks, ensuring that deadlines are met and quality deliverables are delivered. Assess potential risks during project execution, such as delays, vendor issues, or technical difficulties, and report them to management.
Travel and expense coordination: Plan, coordinate, and book business travel for employees. Arrange itineraries, including ground transportation, lodging, and other travel-related services.
Other Activities: Support for the installation of the generation of PORs for office supplies and follow-up with the supplier until payment. Administration and follow-up of utility vehicles, booking, delivery - reception and physical validation of the vehicle's condition, follow-up of maintenance and validity of insurance policies, among others.
Support to Human Resources: Assist with onboarding and security training for new staff.
Coordination with IT: Report and follow up on maintenance for surveillance and access control systems.
Collaboration with EHS: Work closely on workplace safety and ensure security standards in facilities.
Collaboration with Facilities: Coordinate maintenance of access control and alarm systems.
