We are hiring a Billing Specialist to join our Finance team. This role plays a key role in ensuring accurate, timely, and compliant billing operations, while also supporting essential accounting processes such as revenue recognition, account reconciliation, and month-end close activities. This position will provide support to the Steelcase-owned sales office in Mexico City.
What You Will Be Doing:
- Prepare and issue accurate invoices to customers based on contracts, purchase orders, and services rendered.
- Verify billing data, including descriptions, pricing, quantities, and applicable discounts.
- Coordinate with Sales and Customer Service teams to ensure alignment of billing terms and delivery confirmations.
- Process and apply incoming payments to customer accounts.
- Monitor aging reports and follow up on overdue balances to ensure timely collections.
- Investigate and resolve customer payment discrepancies or disputes professionally and promptly.
- Respond to customer inquiries regarding invoices, payment status, or adjustments.
- Provide supporting documentation and clarification as needed to internal or external stakeholders.
- Reconcile billing and accounts receivable sub-ledgers (fiscal and statutory) to the general ledger as part of month-end close.
- Support accruals and revenue recognition processes by ensuring cut-off dates and completeness of billing.
- Assist in journal entries and reporting related to billing, unbilled revenue, or deferred income.
- Ensure billing processes comply with internal controls, accounting policies, and tax requirements (e.g., VAT).
- Maintain organized, audit-ready records of invoices, payments, and customer correspondence.
- Identify opportunities for process standardization or automation to enhance billing accuracy and efficiency.
- Generate and analyze billing reports, KPIs, and collection trends to support decision
Who You Are:
Minimum Qualifications
- Bachelor's degree in accounting is required.
- Minimum 3-5 years of work experience in billing, accounts receivable, or general accounting roles.
- Strong understanding of invoicing, revenue cycle, and basic accounting principles.
- Strong MS Excel skills.
- Proficiency in ERP or billing systems; SAP or NetSuite preferred.
- Intermediate- Advanced English skills in both verbal and written expression.
