We are seeking a detail-oriented and bilingual (Spanish/English) Back-Office Support Specialist to join our team. This role plays a key part in ensuring smooth communication with clients and accurate policy servicing. The ideal candidate has experience in insurance operations, strong organizational skills, and a proactive, client-focused attitude. Experience in Property and Casualty insurance is required.
Key Responsibilities:
Communicate with clients via text and email in both Spanish and English regarding pending documents or required actions on their property and casualty insurance policies
Monitor and respond to incoming client requests for policy endorsements
Issue Certificates of Insurance (COIs) for commercial clients upon request
Perform accurate data entry and maintain up-to-date documentation in the agency management system
Track carrier communications for cancellation notices and underwriting requirements, and relay them promptly to clients
Support daily agency operations by handling time-sensitive service tasks efficiently
Provide outstanding service and maintain a professional, solution-oriented approach in all interactions
Follow up proactively with commercial accounts approaching renewal
Maintain consistent communication with insureds to update contact details and risk information
Prepare renewal files thoroughly so that commercial producers can efficiently take over and re-market the policy
Requirements:
Bilingual: Fluent in Spanish and English (verbal and written)
Experience in Property and Casualty insurance is required
Experience with EZLynx or similar insurance management software.
Strong organizational and time-management skills
High attention to detail and data accuracy
Proficient with email communication and digital tools
Customer service-oriented mindset with the ability to work independently
Familiarity with Podium or similar client communication tools (e.g., texting platforms for business).
