Objective:
Assistance to General Management in planning activities with Country Managers, Executives and Business Partners. Continuous contact with USA and Latin American countries.
Travel management, agenda control, office administration and annual budget, as well as general support in different events at national level.
Requirements:
· Strong knowledge in administrative areas, travel, expense control.
· Bilingual Spanish and English conversational level (interview in English), Portuguese desirable but not essential.
· Experience as Management Assistant (minimum 3 years)
· Proficient in Office software
· Excellent communication skills in Spanish and English.
· Proficient in managing agendas and e-mails.
· Experience in business travel planning and management.
· Ability to conduct business transactions and handle confidential information.
· Solid knowledge in the preparation of documents and presentations.
Activities:
· Assist in the day-to-day management of administrative and office operations.
· Coordinate and manage appointments, meetings, and agendas in different time uses.
· Organization and planning of the Directorate's agenda.
· Preparation of reports and any other relevant documents, such as presentations or proposals and general office tasks such as messaging.
· Attention to clients under quality standards and institutional ethics while they are waiting to meet with the director.
· Control, protection and storage of confidential documentation.
· Organization of files and documents.
· Organization and administration of management communications and coordination of activities.
· Attendance at events to support management.
· Organization of company events or celebrations as well as information to be used in different meetings, such as folders, audiovisual material or digital presentations.
· Coordinate communication between internal departments and clients.
Complementary Activities:
· Invoicing of expenses.
· Registration as supplier.
· Registration of expenses and payments.
· Logistics, coordination, and control in the participation of events.
· Inventory (equipment inventory control).
Skills:
· Ability to prioritize and handle multiple tasks efficiently.
· Exceptional organizational skills and attention to detail.
· Proficiency in Microsoft Office, especially Excel, Word and Outlook.
· Proficiency in Mac and Windows operating systems.
· Effective verbal and written communication skills in Spanish and English.
· Ability to work independently and also as part of a team.
