Strategic and Administrative Support to General Management
Manage the executive calendar, ensuring effective organization and prioritization of meetings, events, and commitments.
Coordinate domestic and international travel, including logistics, itineraries, and follow-up.
Organize and attend to executive visits, providing professional and high-standard support.
Corporate Event Coordination
Plan, coordinate, and execute strategic meetings, executive sessions, and local/international corporate events.
Corporate Travel and Executive Fleet Management
Administer the corporate travel management tool and provide user support.
Coordinate vehicle documentation and administrative processes for executive-assigned cars, ensuring legal and operational compliance.
Oversee the condition and documentation of the company vehicle fleet to ensure it is up to date.
Executive Reporting and Presentation Preparation
Gather, organize, and present key data to support decision-making (KPIs, performance reports, executive summaries, etc.).
Prepare presentation materials for monthly, regional, or global meetings.
Internal Communication and Intranet Management
Manage content related to internal communications and corporate image within assigned intranet modules.
Support the design and implementation of internal communication campaigns aligned with the organization's culture and objectives.
Ensure timely and effective distribution of internal announcements, newsletters, and strategic messages.
Requirements:
Education and Experience
Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role.
At least 2 years of experience in the automotive industry or a comparable corporate environment.
Skills and Competencies
Strong organizational and multitasking skills, with a proactive and results-driven mindset.
High level of energy, initiative, and ownership of tasks and projects from start to finish.
Excellent verbal and written communication skills in English (B2 conversational level or higher).
Outstanding spelling, grammar, and writing skills for professional correspondence and reports.
Exceptional attention to detail and professional presentation.
Ability to work independently with minimal supervision.
Technical Proficiency
Proficient in Microsoft Office Suite (especially PowerPoint and Excel) and Canva for creating presentations.
Experience using SAP, particularly in submitting purchase requisitions and basic transactions.
Comfortable managing digital tools and corporate platforms.
Functional Experience
Coordination and planning of executive-level meetings and events, both local and international.
Travel and logistics management: booking flights, accommodations, and corporate vehicles, as well as supporting related inquiries.
Administration of corporate vehicle documentation and renewals (e.g., insurance, registration, emissions tests).
Monitoring and ensuring timely payments for company fleet (e.g., taxes, verifications, insurance).
Experience in gathering and consolidating business data for reports and presentations (sales reports, KPIs, internal performance reviews).
Agenda management for senior executives, including handling of high-level visits and meetings.
Experience managing internal communications: drafting emails, newsletters, and implementing internal communication strategies.
Experience processing travel expenses and expense reports accurately and efficiently.
