JOB PURPOSE
Support the Admissions team in driving conversion at each stage of the admissions pipeline by maintaining a strong focus on progressing families to the next step by facilitating and delivering an exceptional Family Experience Journey, serving as the first point of contact for families from initial inquiry through to final enrollment. This role is also responsible for managing working agendas, coordinating and assisting in school events, and ensuring the smooth operation of departmental logistics. Key responsibilities include maintaining organizational systems, processing and tracking purchase orders, and supporting the overall efficiency and effectiveness of the Admissions department
RESPONSABILITIES
· Serve as the first point of contact for prospective families via phone, WhatsApp, and email, ensuring a positive, engaging, and informative experience.
· Qualify leads by asking relevant questions and capturing accurate information to support progression through the admissions pipeline.
· Convert inquiries into leads and ensure all data is entered into Salesforce accurately and on the same day. Uses the Opps by owner report to follow up timely.
· Monitor and follow up on new leads twice daily (morning and end of day) to ensure timely engagement and scheduling of tours or information sessions.
· Provide general information about the school and guide families through the initial inquiry and visit stages.
· Support the Admissions Manager and Coordinator in advancing families through the application and enrollment stages.
· Coordinate directly with parents and teaching staff to collect and verify required documents, including SEP requirements, and ensure all files are uploaded and organized in shared folders by school level and year.
· Deliver complete student files to the corresponding academic aide and maintain a signed record of delivery.
· Track and complete documentation for international and local students. Deliver students' complete files to the corresponding academic aide and keep a record of files that have been delivered with date and signature.
· Facilitate a smooth onboarding experience for new families by answering questions and providing ongoing support.
· Manage multiple calendars, including tours, psychometric exams, interviews, and enrollment appointments.
· Assist in the planning and execution of Admissions Events such as Open House, New Families Event, and My New Friend.
· Prepare and maintain Welcome Kits for new students, ensuring accurate records.
· Create and track purchase orders for both the Admissions and Marketing departments, ensuring timely processing, accurate documentation, and proper follow-up.
· Demonstrate a commitment to safeguarding and child protection, completing required training as needed.
· Engage in ongoing professional development through the NAE University portal.
