JOB DESCRIPTION:

As an Administrative Assistant, you will play a vital role in coordinating various daily activities. Your responsibilities will include managing calendars, organizing and prioritizing emails, calls, messages, letters, and memos as needed. You will also handle making and receiving calls for appointment setting, travel itinerary planning, and meeting scheduling.

A key aspect of your role will be to ensure the smooth and efficient execution of day-to-day administrative tasks.


RESPONSIBILITIES: 


  • Manage calendar, including scheduling appointments, meetings, and travel arrangements.
  • Screen and prioritize incoming emails, phone calls, and text messages.
  • Respond to routine inquiries and requests.
  • Draft, edit, and proofread emails, letters, memos, and other correspondence.
  • Ensure timely responses to important messages and follow up as needed.
  • Compile and organize information into cohesive and professional materials.
  • Maintain document templates and style guidelines for consistency.
  • Answer and screen incoming phone calls, taking messages or directing callers to the appropriate person or department.
  • Make outbound calls to schedule appointments, confirm meetings, or relay messages.
  • Maintain a log of incoming and outgoing calls for tracking and follow-up purposes.


REQUIREMENTS


  • Native English with excellent verbal and written communication skills.
  • Attention to detail. 
  • Excellent time management skills and the ability to prioritize work.
  • Problem solving skill. 
  • Strong organizational skills with the ability to multitask.
  • Knowledge of online calendars and scheduling (e.g. Google Calendar).
  • Computer skills such as: Microsoft Office package, spreadsheets, word processors, etc.
  • Bachelor's degree from an accredited university or college in business administration or related field (preferred).
  • Dynamic thinking.
