The Institute for Portfolio Alternatives (IPA) is the leading U.S. trade organization representing asset managers, broker-dealers, registered investment advisers and other entities that provide portfolio diversifying investments to investors. For over 35 years, the IPA has advocated for increased investor access to alternative investment strategies with low correlation to equity markets, as part of a diversified portfolio. Job Overview

The IPA is seeking an organized and enthusiastic Executive Assistant with full English fluency to support the IPA staff.

 

Key Responsibilities

  • Build collaborative relationships with external association members and their administrative staff and internally with other IPA team members.
  • Understand the goals and strategic objectives of the IPA and help to push them forward proactively.
  • Maintain calendars, schedule internal and external meetings, and communicate with members and other IPA staff as appropriate.
  • Assist with scheduling for IPA projects and initiatives (calls, external meetings, staff meetings, etc.).
  • Assist with administrative, logistical, and planning tasks related to the IPA's annual conferences and events.
  • Develop an understanding of IPA scheduling and administrative support needs.
  • Manage documents and project deliverables as requested.
  • Participate in team meetings and projects with an eye to improving processes and the overall performance of the IPA team.
  • Act as a central point of contact for all assigned administrative needs, liaise with other IPA team members as necessary.
  • Assist on the coordination of conference and event marketing.
  • Maintain and update the current list of contacts and activities in the IPA's association membership management database.
  • Prepare letters, emails, and other documents using IPA formatting styles.
  • As a member of the IPA staff, work on special projects throughout the year.


Experience Required:

  • Bachelor's degree or equivalent required.
  • At least 3 years' experience working in an administrative position (5+ years preferred).
  • Professional English fluency is a requirement (100% of the work will be in English only).
  • Experience in financial services and/or a professional services environment a plus.
  • Outstanding verbal/written communication skills and a flexible “can do” attitude.


Technical Skills:

  • Excellent Word, PowerPoint, and Excel skills.
  • Expert knowledge of Outlook.
  • Knowledge of association management database systems (MemberSuite) a plus but not necessary.
