Key Responsibilities:
- Front Desk: Greet visitors warmly upon arrival, ensuring a positive first impression. Direct visitors to the appropriate person and office promptly.
- Communication Management: Efficiently manage company parcels and correspondence. Schedule and confirm appointments, meetings, and events.
- Event Planning: Coordinate office activities for holidays, birthdays, and business events. Creatively prepare weekly breakfast and snack menus; use Canva for poster designs.
- Office Administration: Perform administrative and clerical tasks, including budget control and expense analysis. Utilize Excel and/or Google Sheets for accurate calculations and prognostics.
- Inventory Management: Keep track of office supplies and place orders as necessary. Manage inventory of keys, access cards, stationery, and other back-office supplies.
- HR & Operation Support: Provide guidance and training to employees as needed. Assist HR with administrative tasks and supplier sourcing, facilitating smooth company operations.
- Image Maintenance: Maintain tidy and presentable workstations, upholding the company's premium image. Participate in building administration meetings and ensure protocol compliance.
Qualifications:
- Educational Background: Bachelor's degree concluded in a relevant fields.
- Technical Proficiency: Skilled in office management or project management tools (MS Office, Google Sheets, Canva, etc).
- Soft Skills: Strong capabilities in organization, planning, verbal & written communication, and interpersonal abilities.
- Resilience: Exhibits strong frustration tolerance, excellent stress management, and the ability to multitask efficiently in fast-paced settings, with outstanding patience and customer service focus.
- Personality Traits: Extroverted personality with a consistently positive attitude.
