JOB PURPOSE:

 

This position is responsible for providing administrative support to the Manager of Executive Administration through the tasks and responsibilities listed below. Requires being highly proficient in Microsoft Word, Excel, and PowerPoint while being very organized, detail-oriented, and able to provide fast responses to requests.

 

This role is managed by the Manager of Executive Administration but is also highly involved in, and in constant communication with, other Administrative Assistants across the company who all support Executive Leadership team members. Making this a critical role as the tasks performed daily, have a direct impact on the administrative efficiencies for the company in general. 


RESPONSIBILITIES:

·        Administrative Processor of expense reports for ELT charges/purchases made with Corporate Card and/or Out-of-Pocket methods.

·        Administrative Processor of payments and expense processing for the Corporate BTA card/account

·        Owner and processor for New Vendor administrative set up process.

·        Main processor for Invoices received for company accounts (i.e., vendors, events, and others).

·        Processes all virtual mail received, distributes to appropriate parties, and acts on any tasks associated.

·        Supports Manager of Executive Administration on various other administrative tasks

·        Responsible for updating and keeping record of all Standard Operations Processes (SOPs) related to all the tasks/responsibilities listed above.

·        Perform administrative support tasks as delegated by Manager of Executive Administration including, but not limited to, travel logistics for ELT members, assist with corporate event planning, creating and updating files/documents within related SharePoint sites, assisting with calendar management for ELT activities, and any other administrative overflow tasks.


EXPERIENCE:

  • Associates or Bachelor's degree in Administration
  • Desirable 4 to 5 years of experience supporting executives in a fast-paced large corporate environment.
  • Bilingual (English – Spanish)
  • Advanced skills required: Microsoft Office (Teams, Excel, PowerPoint, and Outlook)
  • Other desirable skills: Asana (or equivalent Project Management tools)
