Descripción

PRIMARY FUNCTION: Reconcile and process invoices and statements from all vendors for payment. Pay invoices according to terms. Print checks weekly and upon request. This position will support our medical offices in the northeast region of the US.

 

ESSENTIAL FUNCTIONS OF THE JOB: (This list may not include all of the duties that may be assigned.)

  • Reconciliation of invoices from all vendors.
  • Enter approved invoices in A/P system (Readsoft/Medius).
  • Print checks, ACH, Wires and Credit Card payments - weekly or upon request
  • Reconcile Statements from major vendors-monthly
  • Reconcile all vendor credit card statements monthly or as needed (Vaccine and Utilities vendors)
  • Generate Insurance and patient refunds- weekly
  • Handle all returned refund checks (undeliverable, insurance return, and refund reversals)
  • Handle all returned checks and follow up with vendors adjust or void as needed
  • Enter and reconcile debit memos and credits memos
  • File all paid invoices
  • Maintain the recurring services worksheet as invoices are processed
  • Follow up with vendor on recurring invoices not received timely
  • Assist co-workers with A/P issues and process invoices to balance work
  • Communicate with vendors in regards to invoice discrepancies
  • Work with Purchasing department on invoice discrepancies
  • Assist AP Manager with any additional request
  • Manage the AP inbox and reply or follow up on all emails received by Departments or vendors in the AP inbox
  • Attend meetings as required.

 

TYPICAL WORKING CONDITIONS: Working in an office environment. Involves frequent telephone interaction; manual dexterity to operate a keyboard and type 35 wpm minimum; operating office equipment; efficient handling of high volume tasks; and proficiency with MS Office products.

 

PERFORMANCE REQUIREMENTS:

Adhere to all organizational information security policies and protect all sensitive information in accordance with organizational policy, Federal, State, and local regulations.


Education: High School Diploma. Accounting Degree preferred.

Experience: 2-4 years A/P experience

Location: Monterrey, Mexico

Language: Bilingual English/Spanish


Knowledge, Skills & Abilities: Excellent organizational skills, clerical skills, and interpersonal skills are a must; as are strong analytical skills, the ability to multi-task, and the ability to work independently. Strong MS Office skills required, including MS Word, Excel, and Outlook. Although some healthcare experience is ideal, a willingness to be trained in this area is sufficient.
