Administrative Assistant / Proposal Coordinator


Administrative Assistant is responsible for managing and preparing all aspects of the proposal response process for our organization. This role involves meticulous attention to detail, the ability to collect, organize, and compile various documents, and ensure that all submissions are complete, accurate, and submitted on time. The ideal candidate will act as a liaison among various departments to gather the necessary information and documentation required for successful proposal submissions.

What does this role involve?

  • Review RFP (request for proposal) documents to understand and analyze the requirements and deliverables.
  • Coordinate with the recruiting department to collect specific documents and information needed for the response.
  • Maintain a checklist and database of all required documents and their deadlines to ensure completeness and compliance with the requirements.
  • Compile and format all paperwork and supporting documents into a final presentation or submission package, ensuring adherence to guidelines and specifications outlined in the request.
  • Develop and maintain a well-organized file system for documents and responses.
  • Manage the submission process, including the electronic submission portals or physical delivery methods, ensuring that responses are delivered before the deadline.


What do we ask for?

  • Advanced Level of English
  • Ability to work from 6 am - 3 pm Mexico City time or from 7 am - 4 pm Mexico City time
  • Experience in document management
  • Excellent attention to detail
  • Strong organizational and coordination skills with the ability to manage multiple projects simultaneously
  • Strong communication skills to effectively collaborate with team members and stakeholders.
  • Proficient in Microsoft Office Suite, particularly Word, and Excel; familiarity with Adobe Acrobat and other document management tools is a plus.
  •  Ability to work under pressure and meet tight deadlines.
