What this job entails: Administrative execution or operation support


We are looking for a dynamic person for the position of Recepcionist to join our team: 

* Work area: Avenida Aviación, San Juan de Ocotan, Zapopan, Jalisco, Mexico

* Work hours: Monday to Thursday from 8:30 am to 5:30 pm

* Work modality: In-person 

* Type of contract: Specific work


What is your day to day?

•  Create a positive first impression as you greet clients, guests, and visiting employees.

•  Track all visitors, including vendors, visiting employees and events guests

•  Manage parking and vehicle logs and records, security access cards and keys

•  Assist with tracking employee on-boarding/off-boarding processes

•  Manage incoming and outgoing courier and other packages or mail as required

•  Support the annual management plan by accomplishing key performance indicators as identified by management

•  Demonstrate confidence, professionalism, responsiveness and exceptional customer service skills

•  Perform other facility management assignments as described by the team and manager

•  Answer calls and the different chats provided by the client for communication with associates

•  Assist associates who visit the Front Desk to request information or services from the different departments of the Team

•  Control, request the purchase, manage and supply office supplies to those who request them, using the tool provided by the client and biweekly inventory control that shows their consumption

•  Attend visits and record them in the tool provided by the client following the previously established process and complying with security policies

•  Manage, provide maintenance and request the attention of the printing equipment supplier, through emails and others provided by the client, to guarantee the availability of the equipment when the client requires it

•  Execute the tasks of Badge preparation, assignment, destruction, change and reporting, using the tool provided by the client, to guarantee the availability of the badges to associates and vendors when they are requested

•  Execute the tasks of preparation, assignment, and Laptop Badge reports, using the tool provided by the client, to guarantee the availability of the laptop badge to associates and vendors when requested

•  Provide administrative support to whoever requests it, such as receiving and sending documents, reserving meeting rooms, assigning permissions for printing or reserving rooms, monitoring various department tasks, reports and others of a similar nature.


Desired experience and technical skills

Education: - Technical Career, High School or equivalent

Language: Advanced English

Work experience- Two years of previous experience

Special knowledge and skills – Experience related to customer service or receptionist, Excellent organizational and communication skills, both oral and written, Advanced knowledge of all Microsoft Office products.

Personal characteristics – Teamwork, committed to work, interpersonal skills, ease of communication both verbally and in issuing reports, service attitude, punctual and responsible
