The objective of this role is to assist the Project Controls Manager and project team to deliver the project by providing project document control services, correspondence filing, project administration and office administration. What are the main responsibilities of this role?

Document Control:
  • Copy, scan and file documents in physical and electronic document management system (EDMS, i.e. PMWeb)
  • Be a PMWeb superuser & document control owner
  • Check for documentation and correspondence for accuracy and edit document, when/if required
  • Review and update technical documents (e.g. document control manuals and workflows)
  • Create templates for future use
  • Retrieve files as requested by team
  • Manage the flow of documentation within the organization
  • Maintain confidentiality around sensitive information and terms of agreements and contracts
  • Prepare ad-hoc reports on projects as needed


Project Administration
  • Provide support to the project team on various administrative tasks.
  • Manage and maintain user access control to multi-user platforms (SharePoint, Teams, PMWeb, etc)
  • Support on the translation of key project deliverables. Liaise closely with the project team to organise and coordinate. Translations may be undertaken internally by the team, Team Assistant or by external translation services.
  • Prepare records such as agenda, notices, minutes and resolutions of meetings.
  • Provide translation services for the senior managers, if required, during meetings.
  • Prepare and improve company, project and/or terminal presentation in line with the Rijeka Gateway branding guidelines.


Business & Office Administration
  • Provide administrative assistance to the project's senior managers, coordinate meetings, facilities, minutes. Visitors' coordination and front-of-house, correspondence, travel, visas, and other types of activities.
  • Liaise closely with facility management and/or procurement to effectively oversee varied activities including cleaning set-up, office furniture, outdoor decoration, IT and comms set up (including virtual conference facilities), etc.
  • Ensuring office equipment, materials and furniture are ordered timely and delivered, with optimum quality and service.


What are we looking for?

Experience:
  • Minimum of 3 years of document control work experience.
  • Experience of working on a large-scale project.


Systems Knowledge:
  • Microsoft Office suite, Office 365, including MS Teams and Sharepoint.
  • MS Excel intermediate to advanced and Data Management.
  • Knowledge of EDMS and project management systems, knowledge of PMWeb a plus
  • Various software platforms relevant to the role for example: enterprise resource planning (ERP, e.g. SAP, Work Day), expenses or travel planning, video and tele conferencing, etc.
  • Desirable experience in Project Close Out.


Skills:
  • Team player and collaborator.
  • Strong communication skills - verbally, electronically (via virtual platforms, presentations and emails) and written.
  • Excellent language skills in English, both written and verbally.
  • High attention to details.
  • High level of planning and organizational skills.
  • Able to handle personal and company information with integrity, confidentiality and discretion.


Education
  • University degree preferred.
