Executive Assistant


?Key Responsibilities and Duties

We are seeking an experienced and highly professional Executive Assistant to support a senior-level Partner with a dynamic agenda in both the public and private sectors.


Key Responsibilities:

  • Provide high-level administrative support to a Partner with significant engagements across governmental and private institutions.
  • Proactively manage personal and professional calendars, schedule meetings, anticipate scheduling conflicts, and prioritize appointments accordingly.
  • Prepare and reconcile travel expense reports and personal expense documentation.
  • Coordinate all aspects of domestic and international travel, including flight, hotel, and ground transportation arrangements. Manage passport and visa requirements as needed, including arrangements for family or business-related travel. Occasional travel may be required to accompany the executive; a valid travel visa is essential.
  • Maintain and update comprehensive travel profiles, including preferences and relevant personal information.
  • Draft and manage professional, independent correspondence with internal teams, clients, and public sector stakeholders.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Foster strong working relationships across all organizational levels.
  • Build and maintain effective relationships with clients and their support teams, as well as with internal stakeholders.
  • Coordinate logistics with personal assistants and drivers for executive transportation across the metropolitan area and other regions within the country.
  • Oversee the organization of meetings, including audiovisual equipment, meeting space, materials, attire, catering, and other logistical needs.
  • Schedule and manage performance review meetings with key organizational stakeholders.
  • Maintain and update the executive's contact database, ensuring visibility and accuracy, including the addition of new contacts.
  • Demonstrate proficiency in Outlook and AI tools for drafting communications and managing complex calendars.
  • Manage special assignments such as client gift arrangements, communications with partners' spouses (as requested), passport renewals, personal administrative tasks, and payment of personal credit cards.
  • Work closely with the Chief of Staff and serve as a backup when required.
  • Maintain flexible availability, as the executive attends public and private events, including campaigns and high-level governmental meetings.


Qualifications:

  • Proven experience supporting senior executives or high-level public figures.
  • Professional appearance and demeanor required.
  • Exceptional organizational and interpersonal skills.
  • Strong discretion, confidentiality, and judgment.


Compensation Structure: This position is offered under a professional services (contractor) agreement.


Work Location: This role is based across our corporate offices in Atizapán, Tlalnepantla, and Polanco.


Availability: Candidates must be willing to travel between locations and maintain a flexible schedule.
