We are seeking an experienced and bilingual (English-Spanish) People (HR) specialist to serve as Sngular's People Manager, guiding the HR team. WHAT you'll be doing:
You will be leading a team that will coordinate and execute the following activities:
Immigration
Initiate, control, and keep track of the E1, TN, J1, Green Card, H1-B / H1-B1 visa processes for the international new hires.
Initiate, control, and keep track of the renewal of visas or any other status changes for the international employees (i.e., I-94 renewal).
Stay updated with the changes in the processes and be proactive in incorporating them into the current internal visa processes.
Follow up regularly with the immigration law firms that manage the cases.
Benefits Management
Own the end-to-end benefits processes, including employee education and communication, plan administration, and plan design.
Coordinate daily benefits processing, including enrollments, COBRA, terminations, changes, and compliance.
Partner with Broker to design, recommend, and implement new benefits programs and design changes and negotiate with vendors for best plans, options, and rates.
Monthly review, process, and track benefits invoices and other expenses.
Manage employee leave requests while maintaining compliance with federal and state leave programs.
Manage all health insurance-related questions and needs and frequently communicate with the benefits broker.
Payroll/Admin
New hire checklist: I-9, background checks, drug tests.
Manage payroll and ensure that the semi-monthly paychecks are accurate and include bonuses, payroll add-ons, expenses, and any other out-of-the-ordinary amounts.
For the new hires, ensure that they get their first payroll, meaning they are in the system and their information is accurate.
For the terminations, prepare the last paycheck, including all pending concepts such as loan debt, PTO, etc.
Take care of payroll withholding tax registration when we employ someone in a state where we do not have a footprint.
Internal processes
Resolve in an orderly manner all open tickets in the internal ticketing tool both for HR and Admin tasks (payroll add-ons, internal HR requests, etc.).
Manage all trips related to employees in the USA (new hires, managers, events, etc.)
Give or plan training for employees on HR and admin-related staff, like tax filing, health insurance doubts, etc.
Keep internal policies updated and be proactive in identifying possible changes due to changes in state laws or similar events.
Keep track of the loans and the payroll advances granted to the employees.
Keep track of the onboarding process for new hires.
Keep track of the corporate mandatory training (work culture, cybersecurity,etc.)
Coordinate the performance evaluations for the employees (midterm and annual).
Out of scope
Everything related to bookkeeping is out of the scope of duties of this team (business taxes, business registration, corporate insurance, audits, invoices). us
On top of that, your direct responsibilities will be:
Be the benefits expert of the team: help manage, improve and inform employees about our benefits.
Be the face of the People Team: attend to employees' requests, give directions and help when possible.
Coordinate with other regions (EMEA & LATAM) to provide the same level of attention to the employees in the USA as they do.
Share lessons learned in the USA that could benefit other regions and the organization.
Set metrics and generate reports to monitor employees' engagement.
Be the go-to person for doubts about immigration, health insurance, benefits, and other policies and HR processes.
This is an employee-facing role. It would be best to have empathy, good communication skills, and experience juggling multiple tasks with different stakeholders.
WHAT you bring:
At least 6 years of experience in similar roles.
At least 1 year of experience in the tech industry.
Bilingual is a must: English and Spanish.
