Bilingual Administrative Assistant - Fully Remote – Part-Time
Compensation: $75 MXN per hour paid bi-weekly with additional annual performance-based compensation
Expected Start Date: November 2024

As we continue to expand, we are seeking a detail-oriented and highly organized Administrative Assistant with great communication skills and attention to detail to support our growing team. This role is with our Mexican subsidiary, wholly owned by Rod & Associates and affiliates.
Overview: This high-visibility role reports directly to the Managing Director and requires a high level of discretion and confidentiality. The Administrative Assistant will be responsible for providing comprehensive administrative support, assisting with basic accounting projects, and supporting the hiring and onboarding process for new employees, and onboarding new clients. This diverse role is ideal for a sophomore or junior in college interested in gaining hands-on experience in business operations, particularly within the finance and accounting fields while they are in college.
Responsibilities:
Administrative Support:
- Manage calendars, schedule meetings, and coordinate travel arrangements for executive.
- Handle email correspondence, draft documents, and prepare reports as needed.
- Organize and maintain files, records, and documentation for the executive team.
- Be the main point of contact with external and internal stakeholders on behalf of the executive
- Assist in the preparation of presentations and other executive communications.
- Track employees license and continuing education requirements (CPE) to ensure that everyone's licenses are up to date
- Ad-Hoc projects needed from time to time
Basic Accounting Project Support:
- Assist with basic accounting projects such as data entry, invoice processing, and expense tracking.
- Coordinate with the external accounting firm on payroll and provide hours worked along with commissions of all employees.
Hiring and Onboarding Support:
- Assist management in the hiring process by coordinating interviews, collecting candidate information, and communicating with potential hires.
- Prepare and process onboarding paperwork for new employees, ensuring all documentation is complete and accurate.
- Facilitate the onboarding process by organizing orientation sessions and providing support to new hires.
University Outreach:
- Assist with outreach to multiple universities in Mexico for our intern rotation program.
- Coordinate with university career centers and departments to attract and recruit potential interns.
Project Management:
- Assist in managing ad-hoc projects, including research, data analysis, and special initiatives as assigned by the executive team.
- Track project progress and ensure deadlines are met.
Communication and Coordination:
- Serve as a point of contact between the executive team and internal/external stakeholders.
- Ensure effective communication within the team and across departments.
- Coordinate with other team members to ensure smooth execution of projects and tasks.
Additional Responsibilities:
- Track employee certificates completed on Udemy, employee tenure, anniversary dates, dates and notes of periodic one-on-one meetings, etc.
- Coordinate with external accounting firms on payroll and provide hours worked along with commissions of all employees.
- Additional projects as needed
- Reliability is an absolute must, and being available daily if needed, is important. This role will work 1-2 hours per day with flexible work schedules.
Requirements:
- Currently enrolled as a sophomore or junior in a Bachelor's program, pursuing a degree in Finance, Accounting, Business, Communications, Human Resources, or a related field.
- Bilingual (Spanish and English) with strong English communication and written skills required.
- Mexican resident is required.
- Experience in an executive assistant, administrative, or similar role is a plus, but not required.
- QuickBooks experience is a plus, but not required.
- Experience in Microsoft Office (Word, Excel, PowerPoint) is a plus.
- Strong organizational skills with attention to detail.
- Ability to handle confidential information with discretion.
- Reliable and dependable with a commitment to meeting deadlines.
- Strong English communication skills required, as interviews will be conducted in English.

Additional Information:
- Candidates must be enrolled at least part-time to full-time in an accredited University throughout the entire academic year
